Job Summary:<\/p>\n\n\n\n
We are seeking a detail-oriented and proactive Sales Administrator to support our real estate sales team. The ideal candidate will play a key role in ensuring the smooth operation of day-to-day sales activities, providing administrative and customer service support, and coordinating between internal departments to deliver a seamless client experience from inquiry to handover. This position requires strong organizational skills, excellent communication, and an understanding of real estate sales processes.<\/p>\n\n\n\n
Key Responsibilities:<\/p>\n\n\n\n
Sales Support & Coordination<\/p>\n\n\n\n
Assist the sales team with documentation, proposal preparation, and client communication.<\/p>\n\n\n\n
Maintain and update client databases, CRM entries, and sales pipelines accurately.<\/p>\n\n\n\n
Prepare quotations, booking forms, sales and purchase agreements (SPAs), and other contract documentation.<\/p>\n\n\n\n
Ensure all sales documentation complies with company policies and regulatory standards.<\/p>\n\n\n\n
Coordinate between sales, marketing, finance, and legal teams to ensure timely processing of client requests.<\/p>\n\n\n\n
Track payments, coordinate with finance for invoicing and receipts, and follow up on outstanding balances.<\/p>\n\n\n\n
Support sales executives in scheduling client meetings, site tours, and follow-up activities.<\/p>\n\n\n\n
Customer Service<\/p>\n\n\n\n
Act as a point of contact for clients regarding sales documentation, payment schedules, and project updates.<\/p>\n\n\n\n
Respond promptly to client inquiries via phone, email, and in-person visits.<\/p>\n\n\n\n
Ensure an exceptional client experience throughout the sales journeyfrom reservation to handover.<\/p>\n\n\n\n
Maintain confidentiality and professionalism in all client interactions.<\/p>\n\n\n\n
Reporting & Analysis<\/p>\n\n\n\n
Prepare daily, weekly, and monthly sales reports and dashboards for management review.<\/p>\n\n\n\n
Track key performance metrics, such as leads, conversions, bookings, and cancellations.<\/p>\n\n\n\n
Assist in generating market trend and sales performance summaries.<\/p>\n\n\n\n
Process & Compliance<\/p>\n\n\n\n
Ensure all sales files are accurately maintained and archived both digitally and physically.<\/p>\n\n\n\n
Verify that sales transactions are aligned with internal approval workflows.<\/p>\n\n\n\n
Support internal audits by providing relevant documentation and reports.<\/p>\n\n\n\n
Recommend process improvements for greater operational efficiency.<\/p>\n\n\n\n
Qualifications & Requirements:<\/p>\n\n\n\n
Bachelors degree in Business Administration, Marketing, or related field.<\/p>\n\n\n\n
24 years of experience in sales coordination, administration, or customer service within real estate, property development, or brokerage.<\/p>\n\n\n\n
Strong knowledge of CRM platforms (e.g., Salesforce, HubSpot, or similar).<\/p>\n\n\n\n
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).<\/p>\n\n\n\n
Excellent command of written and spoken English; additional languages are a plus.<\/p>\n\n\n\n
Exceptional organizational and multitasking skills with attention to detail.<\/p>\n\n\n\n
Ability to thrive in a fast-paced, deadline-driven environment.<\/p>\n\n\n\n
High level of integrity and discretion when handling sensitive information.<\/p>\n\n\n\n
Work Environment:<\/p>\n\n\n\n
Based in Dubai, UAE.<\/p>\n\n\n\n
Office-based role with occasional site visits and client meetings.<\/p>\n\n\n\n
Standard working hours; flexibility may be required during high-demand periods.<\/p>\n\n\n\n
Reports to the Sales Manager \/ Head of Sales.<\/p>\n\n\n\n
